Position Summary:

We currently have an exciting opportunity for a Supervisor of Payroll Tax. This individual will oversee daily operations of the payroll tax department, including accurate and timely processing of payroll and tax administration, while maintaining compliance with company policies and taxing authorities.

Key Accountabilities:

  • Supervise, file and track all local, state and federal payroll tax returns
  • Responsible for federal, state and local tax reporting and compliance
  • Accurately reconcile monthly tax accounts/accruals to the general ledger
  • Process W-2s and complete year end proxy statements for highly compensated employees
  • Ensure accurate and timely preparation, processing and funding of weekly payroll tax wire
  • Maintain all tax controls in PeopleSoft including coordination of new deduction withholdings and establishing appropriate withholding for new and relocating stores
  • Process monthly and quarterly returns for taxing authorities not supported by system
  • Ensure accurate processing for all special handling entries to confirm proper taxation; which includes gifts, awards, deferred compensation and relocation
  • Ensure completeness and accuracy of all payroll tax returns and filings, and act as primary liaison with tax support
  • Maintain current knowledge of all payroll-related federal state and local tax regulations and notifies management of changes
  • Supervise payroll tax processing associates including training, auditing of work, reviews and coaching
  • Research, respond, prepare and inform management of new tax registrations and reporting requirements
  • Prepare and balance weekly, multi-state payroll and special payroll
  • Develop and maintain processes to ensure proper tax information gathering
  • Communicate with internal and external clients on tax matters
  • Maintain tax related systems (i.e. MasterTax) and conduct system testing
  • Conduct tax liability forecasting and prepare various financial reports
  • Ensure SUI rates are maintained
  • Additional duties as assigned

 

Skills/Abilities/Experience & Qualifications:

  • High school diploma or equivalent required
  • 5+ years payroll tax experience in high volume, multi-state environment required
  • 3+ years’ experience in a leadership role required
  • Professional Employment Organization or related industry experience preferred
  • Experience with payroll, accounting and tax software required; MasterTax software preferred
  • Extensive experience working with government agencies, and researching and resolving tax matters required
  • Proven history of developing and improving internal payroll/tax processes
  • Preferred PeopleSoft, Payroll Tax experience
  • Preferred Canada payroll tax experience
  • Experience in researching, analyzing and performing payroll related tax duties
  • Demonstrated ability to supervise the work of others in a customer service focused environment
  • Ability to coordinate and assign work in a fast paced, high volume environment
  • Demonstrated ability to handle highly sensitive and confidential information with professionalism and confidentiality
  • Strong analytical skills, with the ability to identify trends and implement process improvements
  • Demonstrated ability to work well under pressure and consistently meet strict deadlines
  • Effective in problem solving, with the ability to resolve complex issues
  • Strong interpersonal, verbal, and written communication skills, with the ability to effectively communicate complex details to all levels within the organization
  • Demonstrated organizational skills, high standard of accuracy, attention to detail, and excellent follow-up skills
  • Advanced use of Microsoft Office programs including Word, Excel and Outlook
  • Houston, Texas area resident
  • Authorized to work for any employer in the United States
  • Ability to pass a thorough background check

Work Environment, Physical & Mental Demands:

  • Ability to sit and work at a computer keyboard for extended periods of time
  • Ability to stoop, kneel, bend at the waist, and reach on a daily basis
  • Able to lift and move up to 25 pounds occasionally
  • Must utilize visual acuity, speech and hearing, hand and eye coordination and manual dexterity necessary to operate a computer and office equipment
  • Hours regularly exceed 40 hours per week
