About the Job

We currently have an exciting opportunity for a Facilities & Shipping Assistant to join our New York Admin Services team. 

What You’ll Do | Key Accountabilities  

Mail Center & Facilities:

  • Process outgoing shipments (Fed Ex, DHL, UPS, STAPLES, etc.), run postage and prepare outgoing mail for pick-up including stamping envelopes
  • Track and log all incoming deliveries (Fed Ex, DHL, UPS, STAPLES, Certified Mail, etc.)
  • Sort and distribute all mail and packages according to destination, receiving signatures when required
  • Ability to troubleshoot and work within tight schedules
  • Load, unload, and stock office supplies, paper supplies, cleaning supplies, janitorial supplies, drinks, etc.
  • Perform minor general building maintenance including but not limited to hanging pictures, moving furniture, change light bulbs, etc.
  • Set up of computers for new hires and minor IT help.
  • Maintain a clean and safe work environment and report any damaged equipment to proper vendor.
  • Maintain showroom and conferences rooms, set up for meeting (moving fabric carts, furniture (tables, chairs, mannequins)
  • Maintain Konica and Cannon Copiers – order supplies and request tech service when necessary
  • Performs other duties as may be requested by Office Manager
  • Run errands and deliver packages as needed
  • Work as a team with Office Manager and Receptionist

Receptionist (Back-Up):

  • Check in visitors and inform associates guests have arrived
  • Issue visitor badges, following TMW security procedures, ensuring all TMW associates have proper identification before entering the workplace
  • Answer and direct all incoming calls accurately
  • Act as an information resource for all associates
  • Be an active member of the emergency response team
  • Maintain a professional appearance of reception area at all times - clean, attractive and uncluttered
  • Direct all deliveries and couriers to mailroom area

Skills & Experience

  • Minimum Educational Requirement: High School Diploma or G.E.D. Certificate
  • Communicate effectively in English in both oral and written form
  • Be able to maintain work logs
  • Strong computer and data entry skills with strong working knowledge of MS Outlook, Word & Excel
  • Establish and maintain cooperative and effective working relationships with those contacted in the course of work assignments with both vendors as well as company employees and management
  • Knowledge of mailroom concepts, practices, and procedures
  • FedEx, DHL, experience required
  • Detail and results oriented
  • Ability to multi-task
  • Adheres to the appropriate code of ethics
  • Professional attitude and appearance
  • Self-motivated with the desire to excel in performance and knowledge
  • Proven ability to:
  • Adjust work schedule as needs arise in a rapidly changing environment; prioritize and organize work related tasks and special projects
  • Troubleshoot and work within tight schedules as well as meet deadlines
  • Be flexible and dependable by demonstrating regular attendance and punctuality
  • Must be highly motivated with ability to work independently with minimal supervision and work well in a team environment that is high volume and fast paced

Work Environment, Physical & Mental Demands

  • Ability to sit and work at a computer keyboard for extended periods of time
  • Ability to stoop, kneel, bend at the waist, and reach daily
  • Able to lift and move up to 50 pounds occasionally or frequently as needed
  • Able to stand and walk, climb ladder and work under varying conditions and spaces.
  • Maintain physical activity and movements as required
  • Ability to work at least 40 hours per week from the Company’s New York with flexibility based on project needs.
  • Willing to work overtime, off-shift, weekends, and holidays as needed.
